What is a VoiceBot?
The VoiceBot is an AI (artificial intelligence) that understands spoken language and has been trained with a huge vocabulary, so that you can have completely natural dialogues with it like a human. In contrast to previous call center systems, where you have to press buttons or just say certain words to get ahead, the AI ​​immediately understands the concerns of your customers and patients and can therefore provide targeted help. The AI ​​is based on a so-called LLM (Large Language Model), which means you can talk to it completely naturally like with a real person, even in different languages.
What can the VoiceBot do?

The VoiceBot relieves the reception by taking calls 24 hours a day and dealing with your customers'/patients' concerns. Starting with making appointments, rescheduling existing appointments or general information such as opening times or other frequent questions and concerns from customers/patients. If the VoiceBot cannot handle a concern, it automatically forwards the call to the appropriate employee.

What appointment management systems can I use with the VoiceBot?

The VoiceBot can work with any appointment booking and studio/practice management programs via Webhooks. To do this, the VoiceBot queries the availability via a so-called webhook call on the target system and makes the bookings, etc. This means that the VoiceBot can work with all common systems. We are happy to help if you need help integrating it into your system via webhooks.

How can I integrate the VoiceBot in my telephone system/infrastructure?

The VoiceBot can be integrated into your existing telephone system/infrastructure in two different ways:

  1. You receive a telephone number from us which you make available to your customers/publish on the website etc.
  2. The VoiceBot uses your existing telephone number (e.g. either by forwarding to our system, i.e. SIP Trunking or SIP UIC). We are happy to help you with the configuration with your telephony/Internet provider or telephone system.

Requests that the VoiceBot cannot handle itself are then forwarded to a telephone number that you can configure.

Is the VoiceBot data protection compliant?

Of course, the VoiceBot is secure in terms of data protection, as it processes personal data such as names, addresses or dates of birth. As a German company, we therefore only use servers in Germany that meet the highest security standards and strict security norms (ISO 27001). We adhere to the Telecommunications Act and our telephone infrastructure is monitored by the Federal Network Agency. We also work according to the rules of the General Data Protection Regulation (GDPR).
